2. List of Error/Informational Messages
PC-Circ transaction file messages can be divided into three categories:
A. Informational Messages: Transaction Denied
When one of the following messages appears in the PC-Circ transaction file, the attempted check-in,
check-out, or renewal has been denied for the specified reason. Follow the procedurelisted with each

If possible, locate the correct barcode, and do the check-out manually.
no item/patron record found with tagfield <barcode>
The keyed barcode could not be found in the database.
Use Sierra circulation to find the correct barcode. Then do the check-out manually.

The keyed barcode occurs in more than one record.

item is checked out. This checkout denied
The item has already been checked out. Thesystem ignores this check-out. This situation
may arise when the check-out transactions for an item are processed out of
order or when there are multiple, successive check-outs for the same
Use Sierra Circulation to check the PATRON# field for the record number
of the patron to whom the item is currently checked out. The Patron record number in
the PATRON# field probably will not match thepatron listed in the display of
error/informational messages. If this is thecase, manually check the item in, and then
check it out to the patron listed with theinformational message.
Invalid checked out time in file; checkout ignored
This message can occur in a number of possiblesituations:
1.The check-out transaction in the file is earlier than the LCHKIN time in the Item record.
2.The check-out transaction in the file is earlier than the OUT DATE in the Item record.
3.The due date in thetransaction file is earlier than the LCHKIN time in the Item record.
4.The due date in thetransaction file is earlier than the OUT DATE in the Item record.
These situations may arise when the check-inand check-out transactions for an item are
processed out of order or when there aremultiple, successive check-ins and check-outs
for the same patron/item combination. Thismessage may also occur if the PC has the incorrect time.
Check the system time on the PC and/or Sierra Circulation to check the STATUS of the Item record. Determine whether or not you need to check the item in or do the check-outmanually.
failed to determine loan rule
The system does not contain a loan rule withthe specified PTYPE/ITYPE combination
from the records.
unable to locate patron block information
The PTYPE from the Patron record does not existin the patron blocks file.
expected <type>; found <type>
A barcode entered for an item ('i') or patron('p') turned out to be associated with a
different record type.
Use Sierra Circulation to find the correct record type. Do the check-out manually.
B. Informational Messages: Transaction Not Denied
When one of the following messages appears in the PC-Circ transaction file, the attempted check-out, or renewal has not been denied.
put item on hold shelf for <patron>
item is on hold for <patron>
item is 'missing' and has been cleared
item is IN TRANSIT and has been cleared
item is billed and has been cleared
Item has a hold to be picked up at the specified location.
item is for Library Use Only. Checking out anyway
Item has a hold to be picked up at another location.
Record is recently checked out/in
There are consecutive check-outs recorded for the same item.
item is status <status>. Checking out anyway
C. Internal Error Messages
Follow the steps listed with each message. If you are unable to correct the error, call MCFLS.
unable to check in item at this time
Patron record is busy, deleted, or does not exist.
Record may be busy: Try to freethe record using Sierra Circulation (Admin > Free Records in Use). If you are unable to do so, call MCFLS.
Record may have been deleted ormay not exist
Try to retrieve the Patron record using Sierra Circulation. If you can
retrieve the Patron record, call MCFLS. Otherwise, you may be attempting to
circulate material for a patron that has been removed from the database. You will need
to key a record for this patron and then do the check-out manually.
unable to load -- <reason>
<reason> is one of the following:
deleted on <date>
Try to retrieve the Item record using . If you can retrieve the Item record, call
MCFLS. Otherwise, you may be attempting to circulate material that has
been removed from the database.
